Eagle Glen Pickleball Club had outgrown Playbypoint.
The challenge.
The club was ready for its next phase, and its software wasn’t built to take it there. Members expected a modern app. The front desk and the members needed to talk without a patchwork of separate tools. And the people running the business needed numbers they could trust and act on.
Two people felt that last part most. Eagle Glen’s controller needed reporting that matched the way the club keeps its books. Its GM needed answers about the business fast, without spending an afternoon in spreadsheets to get them.
“We’d been running the club around the limits of our software. With Fluid, the software finally works around the club.”Kevin Bobby, General Manager, Eagle Glen Pickleball Club
A one-week move with zero downtime.
Fluid moved Eagle Glen from Playbypoint in one week, without a single day where members couldn’t book. Members and memberships, bookings, balances, saved payment methods, recurring subscriptions and the club’s history all came over and landed in the right place.
Here’s how a migration to Fluid works.
A record first month.
Most clubs need a few months after a platform change before the results show up. Staff are learning new tools, members are finding their way around, and the numbers usually dip before they climb.
Eagle Glen didn’t have to wait. In its first month on Fluid, the club posted record numbers, its strongest results in a long time.
The reason starts with what kind of club Eagle Glen is. Private lessons and clinics are the heart of the business, so the biggest lever was making lessons easier to buy and easier to book. Two things did most of the work: lesson packages and easier booking with coaches.
Commit once, keep coming back.
Players can buy a prepaid package instead of one lesson at a time. The package turns into lesson credits with that coach, and those credits apply automatically at booking. Packages carry their own member and guest prices, so the club can reward members without discounting everything.
Booking a lesson takes a few taps.
Players pick a coach and see that coach’s actual availability for the next three weeks. They choose any start and end time inside those hours, see the total, and book. Not sure who to book? They can say what they want to work on, like a third-shot drop or tournament prep, and Fluid suggests the best-match coach.
At the front desk, staff can book several players into one private lesson straight from an open slot on the schedule. Each player pays their own share, lesson credits come off first, and Fluid assigns the court automatically.
Books that finally add up.
Eagle Glen’s controller cares about the numbers, and cash reporting alone doesn’t tell the whole story. An annual membership paid in July isn’t a July windfall. It’s twelve months of revenue the club earns over time. So Fluid built accrual accounting into the reporting dashboard.
The dashboard now switches between two views of the same business:
- Cash shows the money collected in a period.
- Accrual shows the revenue actually earned. Membership payments are spread across their billing period, program and court revenue lands in the month the session happens, and revenue for future months is tracked as deferred.
- A recognition schedule exports to Excel, reconciling cash collected against earned and deferred revenue by month and by category, down to every line.
“For the first time, the numbers in our club software match the way we actually keep our books. Cash and accrual side by side, and it reconciles.”[Name], Controller, Eagle Glen Pickleball Club
An AI analyst for the GM.
Kevin Bobby, Eagle Glen’s GM, leans on Fluid’s AI to understand the club. Instead of exporting reports and building pivot tables, the GM asks questions in plain English and gets answers back as tables and charts, built from the club’s own data.
The same questions that used to mean a report request or a spreadsheet now take a sentence. And because the answers come from live data, the GM can ask the follow-up right away.
“I ask Fluid about the club every day. Things that used to take an afternoon in spreadsheets now take a sentence.”Kevin Bobby, General Manager, Eagle Glen Pickleball Club
Built for members.
A new app built around the moments that matter.
Eagle Glen members got a new mobile app designed for how people actually use a club.
Built for staff.
On the staff side, Fluid gave the Eagle Glen team better ways to see and run the business.
- Reporting and visibility. A clearer view of the club’s data than ever, with signals that point to what needs attention.
- A shared inbox. Members and staff talk in an inbox that works like Gmail, with text and email in one thread.
- Staff notes. The team leaves context for each other in one place, with attachments, instead of on sticky notes.
FAQ
What platform did Eagle Glen Pickleball Club use before Fluid?
Eagle Glen ran on Playbypoint before moving to Fluid. The club had outgrown its setup and wanted a platform that could support its next phase.
How long did the migration take, and was there downtime?
Fluid moved Eagle Glen from Playbypoint in one week with zero downtime. Members, memberships, bookings, balances, saved payment methods, recurring subscriptions and the club's history all came over to Fluid.
What drove Eagle Glen's record first month?
Eagle Glen is a private lesson and clinic club. Prepaid lesson packages and easier booking with coaches made lessons simpler to buy and book: players see each coach's real availability and book in a few taps, Fluid can suggest the best-match coach for a player's goal, and the front desk can book several players into one lesson with lesson credits applied automatically.

Members get automatic check-in when they arrive at the club, a membership pass in Apple Wallet or Google Wallet, and personalized recommendations for programs, tournaments and coaches.
