Move Your Pickleball Club to Fluid.

We've completed full migrations from Playbypoint and PodPlay in one week, including historical records, balances, saved payment methods and recurring subscriptions.

Our team handles the move. We agree on your club's scope, provider coordination and schedule before starting.

This is Fluid's firsthand experience of completed migrations. The one-week result is not a guaranteed timeline for every club. Explore the details for Playbypoint and PodPlay.

Bring the history behind your members.

A successful switch starts with a shared inventory. Our completed moves included members, memberships, bookings, history, balances and billing transfers. Review the details below for your club.

Records to include in your migration review
Area to reviewWhat to confirm together
Members and membershipsMember details, household relationships, plan status, benefits and renewal dates.
BookingsFuture reservations, assigned courts, times and the program registrations in scope.
Historical recordsAvailable history, the date range to retain and how staff will find the records they need.
Credits and balancesMember balances, outstanding amounts and the totals to reconcile at the agreed cutover point.
Saved payment methodsThe provider-supported transfer path, required access and coordination with the payment providers.
Recurring subscriptionsActive subscriptions, billing dates and the point when the old system stops charging and Fluid takes over.

Use the same review for another provider, including CourtReserve. The transferable records and payment path must be confirmed for that system.

Four checkpoints before the switch.

Build the schedule around your club's readiness. Agree on the work, verify the result and make the changeover clear for everyone.

  1. Map your current operation

List the courts, memberships, member benefits, future bookings and programs your club needs. Choose the Fluid plan and agree on what will be moved, recreated or retained for reference.

    Review the club plans
  2. Agree on the transfer path

Confirm the required exports, access and payment-provider coordination with Fluid. Assign an owner on each side and agree on the scope, cost and schedule before work begins.

    Discuss your migration scope
  3. Check the records and rules

Review representative members, household plans, future bookings and balances. Reconcile record totals and renewal dates, then test the booking and billing rules that matter to your club.

    See Fluid's booking rules
  4. Prepare staff and go live

Agree when booking and billing move to Fluid, how final changes are captured and who handles exceptions. Train staff and give members clear sign-in and booking instructions before the switch.

Give billing and hardware their own review.

These dependencies affect the changeover. Resolve them while planning the migration, so staff know what happens on the first day in Fluid.

Payment continuity

Saved payment methods and recurring subscriptions have moved in our completed migrations. Your club's transfer still needs an agreed provider path and billing plan.

  • Reconcile active subscriptions, renewal dates, credits and outstanding balances.
  • Agree who handles refunds, disputes and payments relating to the old system.
  • Set the billing cutover so each renewal has one clear owner.

Connected court equipment

If your PodPlay setup includes access controls, cameras or displays, review the equipment and its contracts separately from the data transfer.

  • Inventory the equipment, ownership and service agreements.
  • Confirm what can be reused and what needs replacement or removal.
  • Agree how members enter and use the facility during the changeover.

Questions before you move.

How long does a migration to Fluid take?

Fluid has completed full migrations from Playbypoint and PodPlay in one week. That is completed experience, not a guaranteed timeline for every club. Your schedule depends on the agreed scope, exports, access, payment-provider coordination and readiness checks. Fluid confirms your club's plan before work begins.

Can historical records and balances move to Fluid?

Yes. Completed Playbypoint and PodPlay migrations have included historical records and balances, alongside members, memberships and bookings. Agree on the records available from your current system and the scope for your club, then reconcile totals and representative records before cutover.

Can saved payment methods and recurring subscriptions move?

Yes. Saved payment methods and recurring subscriptions were included in Fluid's completed Playbypoint and PodPlay migrations. The transfer for your club needs coordination with Fluid and the relevant payment providers. Confirm the transfer path, renewal dates and responsibilities before changing billing.

What if our PodPlay setup includes court hardware?

Review hardware separately from the software and data migration. Inventory access controls, cameras, displays and other connected equipment, then confirm ownership, compatibility, support contracts and any removal or replacement work. A completed software migration does not establish that every hardware installation can be reused.

Can Fluid help us move from CourtReserve or another system?

Talk with Fluid about your current system, records and billing setup. The team provides assisted migration, but the one-week examples on this page are specifically completed Playbypoint and PodPlay migrations. Confirm the available exports, payment transfer path, scope and schedule for your provider.

What should we prepare for a migration discussion?

Bring a list of your courts, membership plans, future bookings, record history, balances and payment providers. Include any connected hardware, staff training needs and preferred changeover dates. Fluid can use that inventory to agree on the migration scope, responsibilities and schedule with your club.

Bring your setup. Leave with a migration plan.

Tell us which system you use, how your memberships and billing work, and when you want to move. We'll review the scope, responsibilities and schedule with you.
