In this guide: Use the Fluid PB Event Planner to schedule tournament brackets, assign court availability, and manage match timing—so you can organize divisions efficiently and avoid court conflicts.

The Event Planner gives you a visual timeline of your tournament day. You can see how divisions overlap, space out starts, and plan all-day events without court bottlenecks.

Overview

The Event Planner helps tournament organizers:

  • Schedule brackets on a shared day timeline
  • Assign and adjust court availability
  • Manage match timing across divisions
  • Visualize overlap and congestion before event day

Use it after brackets are created so division format, team counts, and match totals are reflected on each planning card.

Accessing the Event Planner

  1. Open your tournament
  2. Navigate to the Planner tab

The Event Planner displays:

  • Tournament divisions (brackets)
  • Scheduled start times
  • Estimated duration
  • Court availability
  • A timeline view of the event day

Understanding the Planner Layout

Timeline view

The left side of the planner shows the full event day in 15-minute increments.

Use the timeline to:

  • Visualize overlap between divisions
  • Space out tournament starts
  • Prevent court congestion
  • Plan all-day events more efficiently

Bracket cards

Each division appears as a draggable planning card with:

  • Division name
  • Scheduled date and time
  • Estimated duration
  • Number of teams
  • Round robin details
  • Playoff match totals
  • Available courts

Examples of division names you might see on cards:

  • Intermediate - Advanced Division
  • Beginner Intermediate

Scheduling Divisions

To schedule a bracket:

  1. Open the Planner tab
  2. Locate the division card
  3. Drag the division to the desired start time on the timeline
  4. Adjust court availability if needed
  5. Click Apply Changes

The planner helps you see how divisions fit within your available court schedule before you commit changes.

Court Availability

Each bracket card shows how many courts are available for scheduling—for example, 5 Courts Available.

Increasing available courts can:

  • Reduce total event duration
  • Allow more simultaneous matches
  • Speed up playoff completion

Reducing courts may:

  • Extend tournament duration
  • Create longer wait times between matches

Match court allocation to division size, playoff length, and priority divisions (see Best Practices below).

Round Robin and Playoff Information

The planner surfaces format details so you can estimate event length, court usage, staffing, and match flow.

Round robin

Shows:

  • Number of teams
  • Total round robin matches

Playoffs

Shows:

  • Number of playoff teams
  • Total playoff matches

Use these totals when planning check-in windows, referee coverage, volunteer shifts, and championship timing.

Applying Changes

After scheduling adjustments:

  1. Click Apply Changes
  2. Fluid PB saves the updated planner configuration
  3. Tournament schedules update throughout the platform

Always apply changes before leaving the planner page. Unsaved drag-and-drop or court adjustments do not persist until you apply them.

Best Practices

Stagger division start times

Avoid starting every division at the same time to reduce:

  • Check-in congestion
  • Court bottlenecks
  • Delayed match starts

Allocate courts strategically

Assign more courts to:

  • Larger divisions
  • Longer playoff brackets
  • High-priority divisions

Leave buffer time

Add extra time between divisions for:

  • Match overruns
  • Breaks
  • Weather delays
  • Court maintenance

Review match volume

Use the displayed match totals to estimate:

  • Overall event duration
  • Volunteer requirements
  • Referee needs
  • Championship timing

How do I open the Event Planner?

Open your tournament, then go to the Planner tab. The Event Planner shows divisions, start times, estimated duration, court availability, and a timeline of the event day.

How do I schedule a division in the planner?

Drag the division card to the desired start time on the timeline, adjust court availability if needed, then click Apply Changes to save.

What happens when I change court availability?

More available courts can shorten total event duration and allow more simultaneous matches. Fewer courts can extend duration and increase wait times between matches.

Do I need to apply changes before leaving the planner?

Yes. Click Apply Changes so Fluid PB saves the planner configuration and updates schedules across the platform. Unapplied changes are not persisted.

What match information does the planner show?

Each division card shows round robin details (teams and total matches) and playoff details (playoff teams and total playoff matches) to help estimate event length and staffing.
