In this guide: Send email or text messages to tournament players from Fluid PB—open the Communication tab, choose your audience, compose your message with live preview, and send.
The Communication feature lets tournament organizers send emails or text messages to all registered players or specific groups.
Step 1 — Open Your Tournament
- Log in to Fluid PB.
- Navigate to Tournaments.
- Select the tournament you want to manage.
- Click the Communication tab.
Step 2 — Create a New Message
- Click New Message.
- Choose your communication channel:
- Email — Send an email to players.
- Text — Send an SMS message (where supported).
Step 3 — Select Your Audience
By default, no recipients are selected.
To send a message to everyone:
- Under Audience, select Everyone.
You can also narrow your audience using filters such as:
- Registration Date
- Unpaid Players
- Teams with Unregistered Partners
- Specific Divisions
- Custom Segments
The EST counter displays the estimated number of recipients who will receive your message.
Step 4 — Compose Your Message
Subject (Email Only)
Enter a clear, concise subject line.
Example:
Tournament Update – All Smoke Showcase
Body
Compose your message using the built-in editor.
You can format your message with:
- Headings
- Bold, Italic, and Underline
- Bullet and Numbered Lists
- Links
- Buttons
- Banners
- Images
The Live Preview panel updates as you type so you can see exactly how your message will appear on desktop and mobile.
Step 5 — Review Before Sending
Before sending, verify:
- The correct communication channel is selected.
- The audience is set to Everyone (or your desired segment).
- The estimated recipient count matches your expectations.
- Your subject and message are accurate.
- The live preview looks correct.
Step 6 — Send the Message
When you're ready:
- Click Send to X People.
- Confirm the send if prompted.
Your message will be delivered to all selected recipients.
Best Practices
- Use clear subject lines so players immediately recognize tournament updates.
- Keep important information near the top of the message.
- Include dates, times, court assignments, or schedule changes when applicable.
- Use the preview to verify formatting before sending.
- Send messages only to the audience that needs the information to avoid unnecessary notifications.
