Create a Repeatable Private Event on Fluid — One payment, then recurring sessions

In this guide: One payment for a multi-week block—create a one-time private event, then link a repeatable series for the same roster. The sections below follow that order.

This guide explains how to set up an event that spans a specific period (e.g., six weeks) but requires only a one-time payment. A common example is a six-week clinic where members are charged once before it begins.

The setup involves two steps:

1. Non-repeatable event to collect the one-time payment and allow participants to register.
2. Link this event to a repeatable events offering to manage the recurring sessions for the duration.

Create the Private Event

You can create a repeatable private event directly from the Reservations tab. Just follow these steps:

1. Set the Start and End Date & Time – use the dropdown to select Does not repeat for a one-time event.
2. Enter the Max Participants – make sure it matches the capacity of the original event.
3. Create Event – this will save your private event and make it available for booking.

Create the Repeatable Event

Once the initial event is created, you can now set up the repeatable series for future bookings.

1. Navigate to the desired start date on the calendar where you want the recurring event to begin.
2. Create a new repeatable event that spans the full duration of the series.
3. Set the Start and End Dates – this defines the time frame over which the event will repeat.
4. Enter the Max Participants – make sure it matches the capacity of the original event.
5. Click "Create Event" or "Update Event" to publish the recurring schedule to your calendar.

Add Members/Players

This step is optional but highly recommended. After adding the repeating event to your calendar, you can assign the members or players who registered and paid during Week 1. This keeps your sessions organized and gives coaches an accurate check-in list.

1. Click on the repeated event you just created.
2. Select View Guest to open the attendee list.
3. Click Add Player and choose the participant(s) from your club database.
4. Click Done to save the attendees.

Be Sure to Fill Out the Event Details

• Title: Example – "6 week Clinic with Zane Navratil"
• Duration: Set to your preferred event length
• Price: Input the fixed price you'd like to charge
• Description (optional): Add any notes about what's included
